Partnering with Testing Services to Administer Exams

Please take a look at the Guidelines and Best Practices page first. These Guidelines for Instructors ensure Extended Campus students throughout the SIU system are given professional test proctoring services for all courses provided through Testing Services.

Filling out the Instructor Form

Instructors must fill out an Instructor Form at the beginning of the semester before courses can be added to the Testing Services proctor forms and online registration system.

All exam specifications should be included on the Instructor Form.  These may include:

  • Software requirements such as Lockdown Browser or Quicktime installation
  • Passwords
  • Allowable material such as text books or calculators

Detailed information gives Testing Services the ability to ensure that proctors are able to meet all requirements for exam administration.

Exam passwords may not be changed after the Instructor form is submitted. 

Individual changes to exam dates (such as extensions, make-up exams, or early exams) should be communicated via email at least one business day prior to the new date.  DSS accommodations should be communicated as early as possible.

Paper Exams

Paper exams must be submitted at least a week before the exam window.  In order for exams to be delivered to off-campus proctors efficiently, they may not be edited or changed after this point. 

Paper exams can be picked up by instructors or TA’s the first business day after the exam deadline.  Testing Services will scan and email paper exams to instructors who are unable to pick them up.  This will be done the first business day after the exam window closes.

Exams through D2L

While Testing Services administers exams in our Testing Lab and through off-campus proctors, another department assist instructors in setting up exams.  The Center for Teaching Excellence provides a number of training events and video tutorials. The SIUOnline Helpdesk may be reached by phone (618-453-1024) or email (mycourse@siu.edu).

Please make sure that exams delivered through D2L are placed in the Quizzes section.  This allows off-campus proctors to find them easily.

Tracking Exam Completion

At times there may be a delay in receiving paper exams from off-campus proctors.  If there is a question on whether a student completed an exam, please first contact the student.  If the student claims the exam was completed but the exam was not received, contact Testing Services.  We will contact the proctor for verification and forward the exam as soon as it is received.

Instructors will be given access to registration information for students taking exams for their course on campus.  Details on how to access this information will be emailed after the Instructor Form is received.  A list of students who submitted forms for off-campus proctors will be available upon request.
